For the convenience of grantees, EPA is providing formatted Excel spreadsheets that grantees may use for the required grant reporting.
Using the Excel files for grant reporting will allow you to track and report all required outcome elements, automatically tabulate many of your required outputs, and update and resubmit the file for sequential annual reporting. Using these workbooks will also allow EPA to easily import this information into a database for aggregating P2 grant performance information across the country. In the future, EPA will make the database available to all P2 grantees to search the P2 actions being recommended and implemented by others.
To maintain EPA’s ability to easily aggregate the reporting data that grantees submit in these Excel spreadsheet files, we ask that these spreadsheets not be modified other than adding the requested information.

Grants with FY24-25 Funding
- Reporting Template 1 (xlsx) is for reporting on grant projects where P2 technical assistance is provided directly to a specific business facility.
- Reporting Template 2 (xlsx) is for reporting on grant projects that involve green certification or leadership programs or for a grant project that broadly provides P2 technical assistance to multiple facilities at the same time, such as a training, outreach, or roundtable project.
Grants with FY23-24 Funding

- Grant Reporting Timeline: To align with EPA’s own program reporting timelines, the P2 Program is asking all FY23-24-funded grantees to report on the following schedule:
- Annual Reporting: For the first year, use October 31 for annual reporting in lieu of the grant award anniversary date which is the reporting date indicated in the Request for Applications. This means that instead of having 60 days from the grant award anniversary date to email the annual report, grantees will have 60 days from October 31 to email the annual report. This “in-lieu-of” anniversary date will apply each grant year for annual reporting purposes.
- Most grantees will have fewer than 12 months to cover in their annual report, due to grant award dates. For the subsequent year or years, grantees will have 12 months to cover in their subsequent annual reports.
- Mid-year Reporting: Grantees may defer their first mid-year report and combine it with the first annual report. After the first year, mid-year reports will be due to be emailed by April 30 (which is six months after October 31).
- Final Reporting: The final technical report will still be due within 120 days of when the grant closes.

Grants with FY22-23 Funding

- Reporting Template 2 (xlsx) is for reporting on grant projects that involve green certification or leadership programs or for a grant project that broadly provides P2 technical assistance to multiple facilities at the same time, such as a training, outreach, or roundtable project.

- Manual of Reporting Instructions for P2 and SRA Grants Funded in FY22-23 (pdf) are step-by-step instructions that explain the facility information and measures of success that grantees will need to report on over the course of their grants. This document also provides grantees with links to supplementary tools and resources to assist them in their reporting efforts and in communicating their achievements to the EPA, their community, and communities nationwide.

Grants with FY20-21 Funding
EPA is providing three reporting templates in Excel. The appropriate spreadsheet file to use will depend on the project type:
- Reporting Template 1 (xlsx) is for reporting on grant projects where P2 technical assistance is provided directly to a specific business facility.
- Reporting Template 2 (xlsx) is for reporting on grant projects that involve green certification or leadership programs.
- Reporting Template 3 (xlsx) is for reporting on grant projects where technical assistance is designed for multiple businesses rather than provided directly to a specific business (e.g., P2 training courses, outreach material, roundtables).
- Reporting Timeline: Grantees should continue using the reporting timeline established for their individual FY20-21-funded grant.
